Financial Administrator
About the position
We are looking for a detail-oriented Financial Administrator to join our team. The successful candidate will be responsible for preparing financial reports and supporting the financial management of a research institution whose portfolio consists primarily of grants funded by European programmes (Horizon Europe, Digital Europe, Interreg, etc.), as well as collaborations with private, public, and government-sector partners.
Job description
Financial and accounting administration: Managing day-to-day financial administration, recording and reviewing invoices and supporting documents, assigning them to the correct projects in the system, and maintaining proper documentation and archives.
Banking operations and communication: Managing bank accounts, preparing payments, matching payments with invoices, and working closely with an external accounting and payroll provider.
Preparation of monthly payroll documentation
Business travel administration: Arranging travel insurance, supporting employees with travel requests and expense claims, reviewing travel expense reports, and allocating costs to the appropriate projects.
Reporting and budgeting: Regular work with financial data in Excel, preparation of financial reports, monitoring cash flow, and tracking the utilisation of grant budgets.
Project and audit support: Preparing financial documentation for the Grant Office, partnerships, audits, and financial controls.
Process improvement: Contributing to the development and improvement of financial processes and handling additional operational tasks based on management needs.
Personality requirements
Education: Secondary education required; university degree in economics, finance, accounting, IT, or a related field is an advantage.
Experience: General knowledge of project financial management, ideally involving EU-funded grants. Experience with budgeting and cash flow planning is an advantage.
Skills: Advanced MS Excel skills (pivot tables, formulas, data visualisation). Strong analytical and critical-thinking skills. Excellent attention to detail and accuracy.
Knowledge of SQL is an advantage.
Experience in public administration is welcome but not required.
